Job Overview:

This role is ideal for someone proactive, detail-oriented, and eager to grow within a fast-paced, high-impact environment. As an Office Assistant, you’ll be a vital part of our operations—supporting logistics, administration, recruiting coordination, and front-desk functions. Your work will be essential to ensuring the smooth day-to-day flow of the office, helping to coordinate activities across departments, removing operational bottlenecks, and providing hands-on support where it’s most needed. This position plays a key role in maintaining an organized and productive workplace, enabling teams to stay focused and efficient in achieving their goals

Key Responsibilities:

· Manage front-desk operations including answering phones, routing calls, responding to emails, and handling general inquiries.

· Coordinate meeting room bookings and maintain shared calendars.

· Handle incoming and outgoing mail, packages, and deliveries.

· Monitor and manage office supplies; restock as needed and coordinate office equipment maintenance.

· Maintain a clean, organized, and functional office environment, including kitchen, conference rooms, and common areas

· Track, package, and ship company materials and ensure timely delivery of goods

· Assist with onsite interviews

· Provide administrative support across departments for cross-functional tasks and projects

· Assist departments with administrative tasks and cross-functional initiatives

· Coordinate logistics for meetings, conferences, team events, and offsite activities.

· Identify opportunities to improve workflows and contribute to the development of more efficient internal processes

 

Qualifications & Skills:

· High school diploma or equivalent required

· Experience in a client-facing or customer service role

· 1–3 years of experience in an administrative, office, or clerical role preferred - but not required

· Strong organizational and multitasking skills, with a sharp attention to detail

· Excellent verbal and written communication skills; able to interact professionally with all levels of staff , supplier and clients

· Self-starter with a proactive, resourceful attitude and ability to work independently

· Capable of handling sensitive information with discretion and professionalism

· Ability to prioritize and manage multiple tasks in a fast-paced, time-sensitive environment

· Strong work ethic, collaborative mindset, and willingness to jump in wherever needed

· Physical ability to occasionally lift up to 25–30 lbs., run office-related errands, and stand or walk for short periods during the workday

· Naturally detail-oriented, organized, and responsive under pressure

 

Technical Skills:

· Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

· Experience supporting remote or hybrid teams is a plus

· Familiarity with budgeting, expense tracking, or basic bookkeeping

· Experience with Enterprise Resource Planning (ERP) tools

 

Bonus Skills:

· Additional coursework or certification in office administration, business operations, or logistics

· Experience with internal process improvement or organizing filing/document systems

· Comfortable learning and adapting to new software systems and digital tools

· Financial administration, such as processing invoices, submitting expenses, and liaising with vendors

This position requires regular on-site presence Monday through Friday to support business operations.
